The plan seems sound. Copy the photos onto an external drive, put it in a drawer, and they’re safe.
It’s the most common archival mistake I see, and it produces a specific and depressing kind of case: someone opens the drawer eight years later, plugs in the drive, and nothing happens.
Here’s what actually goes wrong, and what to do instead.
Short answer
An external drive is a fine second copy. It is not an archive.
The difference: a backup is one of several copies, checked occasionally. An archive is the only copy, unchecked for years. External drives are decent at the first job and bad at the second — not because they’re low quality, but because a single unchecked copy of anything is a bad plan.
What happens to a drive in a drawer
Mechanical drives develop stiction. Sitting unpowered for years, the lubricant on the platters and the parked heads can effectively bond. Apply power and the motor can’t break them free. The classic failure of long-stored drives, and it’s the reason a drive that worked perfectly when you put it away doesn’t spin when you take it out.
Lubricant degrades regardless of use. Spindle bearing lubricant breaks down over a decade whether the drive ran or not.
SSDs lose charge. This one surprises people. NAND flash stores data as trapped charge, and charge leaks. An SSD unpowered for several years can genuinely lose data — the JEDEC specification for consumer drives assumes something like a year of retention at room temperature once the drive is at end of life, and while a healthy drive does much better, “much better” is not “forever.” Never use an SSD as your cold archive.
The enclosure fails before the drive does. External drives have a USB bridge board that fails more often than the disk behind it. And on many WD and Seagate models, that bridge does hardware encryption — so if it dies, the drive inside is unreadable until a matching board is found.
The interface goes obsolete. Not hypothetical. Drives from 2010 that used FireWire are now genuinely inconvenient to read. USB-A is on the same path.
You forget it exists. Boring, and probably the leading cause of loss.
Why one copy is the actual problem
Everything above is a reason a drive might fail. The reason it matters is that there’s nothing else.
A drive with a 2% annual failure rate is fine as one of three copies. As the only copy of your family’s photographs, over ten years, it’s a bet you shouldn’t be making — and it’s a bet where the payout for losing is something money can’t fix.
The most common version I see: someone copies photos to an external drive and deletes them from the laptop to free up space. That isn’t a backup. That’s a move, and it converts two copies into one.

What to do instead
Cloud plus local, not one drive. Cloud storage for the copy that survives your house, a local drive for fast restores. The practical setup is here — under $10 a month and about an hour.
If you must use drives, use two, in two places. One at home, one at a relative’s. Copy to both.
Spin them up once a year. Twenty minutes: plug it in, confirm it mounts, open a few files, unplug it. This catches a failing drive while you still have another copy, and it prevents the stiction case entirely.
Check S.M.A.R.T. while you’re there. Reallocated sector count climbing means retire it now.
Copy to a new drive every five years. Not because the old one is dead, but because it’s past the reliable part of the curve. Migration is the actual archival practice — data outlives hardware only by moving between hardware.
Store them properly. Upright, room temperature, dry, away from magnets and vibration. Not the basement, not the attic, not the garage. Same rules as tapes, for similar reasons.
What about discs, or a NAS?
Optical discs. Recordable DVDs and Blu-rays suffer disc rot from dye degradation, and burned discs from the 2000s are already failing. Archival-grade M-DISC is genuinely better, but you also need a drive to read it in a decade. More on why discs are the wrong deliverable.
A NAS. Better — redundancy means one drive failing isn’t loss. But RAID is not backup: it protects against drive failure, not deletion, ransomware, fire, or theft. And NAS arrays fail in their own ways, usually after running degraded for months because nobody enabled the alert emails.
The honest summary
Nothing you buy is permanent. Drives fail, discs rot, flash leaks charge, formats and connectors go obsolete.
Long-term preservation isn’t a product, it’s a habit: multiple copies, in multiple places, checked occasionally, migrated to new hardware every few years. That’s how archives have always worked, and consumer storage hasn’t changed it.
The good news is that digital copies are perfect. A file copied in 2035 is bit-identical to the one made today — no generational loss, unlike the tapes these photos may have come from. You just have to actually make the copies.
The bottom line
An external drive in a drawer is one unchecked copy on hardware with a five-year comfortable life, and often a dead enclosure before that. Use one as part of a plan, not as the plan: add a cloud copy, spin the drive up annually, and move to fresh hardware every five years.
